Connecting your mail

Which mail services work with Ordo Mail?

Gmail, iCloud Mail, Fastmail, Yahoo Mail, GMX, WEB.DE and other IMAP mailboxes. Outlook and Microsoft 365 are not supported yet. Ordo Mail is a native Mac app and needs macOS 26.1 or later.

Why does Ordo Mail ask for an app password?

Ordo Mail talks to your mailbox with the standard mail protocols IMAP and SMTP. Gmail, iCloud Mail, Fastmail and Yahoo Mail do not accept your normal password for these. They ask you to create a separate password for each mail app, called an app password (or app-specific password at Apple). It works only for mail, and you can revoke it at any time without changing your main password.

GMX and WEB.DE use your normal password, once IMAP is turned on in your account.

Ordo Mail stores the password in your Mac’s Keychain and sends it only to your mail provider.

How do I create an app password for Gmail?
  1. Your Google Account needs 2-Step Verification. Turn it on at myaccount.google.com/security if it is off.
  2. Open myaccount.google.com/apppasswords and sign in.
  3. Type a name, for example “Ordo Mail”, and choose Create.
  4. Google shows a 16-character password. Copy it.
  5. In Ordo Mail, click Connect a Mailbox (or Settings > Accounts > Add Mailbox), type your Gmail address and paste the 16 characters as the password. Spaces do not matter.

Google does not offer app passwords when 2-Step Verification uses security keys only, when Advanced Protection is on, or when a work or school administrator has switched them off. Google revokes all app passwords when you change your Google password; create a new one afterwards and enter it in Ordo Mail’s Settings. Google’s own help: Sign in with app passwords.

How do I create an app-specific password for iCloud Mail?
  1. Your Apple Account needs two-factor authentication.
  2. Sign in at account.apple.com.
  3. In the Sign-In and Security section, choose App-Specific Passwords.
  4. Choose “Generate an app-specific password”, name it “Ordo Mail” and follow the steps.
  5. In Ordo Mail, click Connect a Mailbox (or Settings > Accounts > Add Mailbox), type your iCloud Mail address (ending in icloud.com, me.com or mac.com) and paste the password.

You can have up to 25 active app-specific passwords. Apple revokes all of them when you change or reset your Apple Account password; create a new one afterwards. Apple’s own help: Sign in to apps with your Apple Account using app-specific passwords.

How do I connect Fastmail?

Fastmail asks mail apps for an app password, not your normal password. Create one in your Fastmail account settings. Then, in Ordo Mail, click Connect a Mailbox (or Settings > Accounts > Add Mailbox), type your Fastmail address and paste the app password. Fastmail’s own help has the exact steps.

How do I connect Yahoo Mail?

Yahoo Mail asks mail apps for an app password, not your normal password. Create one in your Yahoo account settings. Then, in Ordo Mail, click Connect a Mailbox (or Settings > Accounts > Add Mailbox), type your Yahoo Mail address and paste the app password. Yahoo’s own help has the exact steps.

How do I connect GMX or WEB.DE?

GMX and WEB.DE use your normal password, once IMAP is turned on in your account. Turn it on in your account settings in the GMX or WEB.DE web mail. Then, in Ordo Mail, click Connect a Mailbox (or Settings > Accounts > Add Mailbox) and type your address and your password. Your provider’s own help has the exact steps.

Sign-in stopped working

Most often the app password was revoked because you changed your Google or Apple password. Create a new app password as described above and enter it for that account in Ordo Mail’s Settings. For Gmail, also check that IMAP access has not been switched off by an administrator. For GMX and WEB.DE, check that IMAP is still on in your account settings.

Which mailboxes does Ordo Mail show?

Your Inbox, Sent, Drafts and Archive: the newest 50, 200 or 500 emails of each, as chosen in Settings. Your replies appear in their conversations. Drafts are saved in your account’s Drafts mailbox, so your other mail apps show them too. Older mail and Trash stay in your mail provider’s own apps.

Can I look at the app without connecting my mailbox?

Yes. On the welcome screen choose Try with Sample Mail. The app opens with about 40 fictional emails that are already sorted. Sample mail uses no network connection and no account, and nothing is kept after you quit.

Auto Sort

What does Auto Sort send, and to whom?

Nothing is sent until you agree on the permission screen in the app. After that, for each email it sorts, Auto Sort sends:

  • the sender’s name and address, the subject, and how many other people the email was addressed to (never their addresses);
  • the first 1,000 characters of the text, with long numbers such as sign-in codes replaced and link parameters removed;
  • whether your mail provider confirmed the sender, and the domains the email’s links lead to (never the full links);
  • your label names and descriptions, a few earlier subjects you marked, and a one-line summary of how you deal with that sender.

For a label review it sends your labels, your most frequent senders with a few subjects each, and labels you chose by hand. No email text is sent for a label review.

The data goes through our server to the AI service. We don’t store it, and every request asks the AI service not to keep it and not to use it to train AI models. Attachments are never sent. The Privacy Policy names every company involved.

How do I stop sending email extracts?

Open Settings in Ordo Mail and turn off the permission for Auto Sort. From that moment nothing more is sent. The mail app keeps working; new mail stays in the inbox without a label.

What are the limits?
  • Free emails: once per installation, up to 500 emails, labelled in your mailbox once you have started Auto Sort. After that, labels stay and new mail arrives unsorted until you subscribe. No label review.
  • Each paid month (fair use, also on the yearly plans): up to 3,000 sorted emails across all your mailboxes, and up to 2 label reviews. Mail that is already in your inbox when you turn Auto Sort on counts too.
  • Look-back: when you turn Auto Sort on, you choose whether the newest 50, 200 or 500 emails of each mailbox are sorted. 200 is the default.

When a limit is reached, Auto Sort pauses until your next paid month begins. New mail still arrives, unsorted. You are never charged extra. Details: Terms of Use, section 3.

What is a label review, and how do I start one?

A label review looks at how your mail has been sorted and proposes changes, for example a new label for senders that keep landing in Review. You do not start it. It runs by itself: the first time once 300 emails have been sorted, and later only when at least 150 new emails have landed in Review and 30 days have passed, at most twice per paid month. Label reviews are not part of the free emails. Nothing changes until you accept a proposal.

An email got the wrong label

Change the label by hand. Auto Sort learns from your corrections. AI makes mistakes, so check your labels regularly and do not rely on Ordo Mail alone for time-critical mail.

Subscription

What does Auto Sort cost?

USD 1.99 per month, or USD 14.99 per year.

The app shows your local price before you buy. The 500 free emails are the way to try it. There is no free trial period. Every plan renews until you cancel. The mail app itself is free and stays free. Details: Terms of Use, section 4.

How do I cancel?
  1. Open the App Store app on your Mac.
  2. Click your name at the bottom of the sidebar.
  3. On the page that appears, click your name again. You may be asked to sign in.
  4. Click Subscriptions, then click Auto Sort.
  5. Click Cancel Subscription.

You can also open apps.apple.com/account/subscriptions, or use the Manage Subscription button in Ordo Mail’s Auto Sort settings. Cancel at least 24 hours before the end of the current period (the month, or the year) to avoid the next charge. Auto Sort stays on until the end of the period you paid for. Deleting the app does not cancel the subscription. Apple’s own help: Cancel a subscription from Apple.

Can I get a refund?

Purchases are made through Apple, and Apple decides on refunds. Ask at reportaproblem.apple.com.

I subscribed, but Auto Sort says I am not subscribed

Open Ordo Mail’s Auto Sort settings and choose Restore Purchases. Check that the Mac is signed in to the App Store with the Apple Account that bought the subscription. The subscription works on every Mac signed in to that account, and the monthly limits are shared between them.

Your data

How do I delete my data?
  • On your Mac: removing an account in Settings deletes its password and mail records from the app. To remove everything the app keeps, choose Settings > General > Erase All Data, then delete the app.
  • On our server: we keep usage counters and, when you use Auto Sort, a short record for each sorted email (a scrambled key, its label, whether you ticked it off or set a reminder, and the device name, never the email itself) under a scrambled identifier. Write to support@ordomail.app with the Support ID shown in the app under Settings > Auto Sort and we delete them within 30 days. Sort records are also deleted by themselves 120 days after their last change.
  • In your mailbox: labels and folders that Ordo Mail created stay in your mailbox until you remove them there.
